Dashboard Collaboration using iCloud
Co-create & stream live dashboards with teams.
One of Numerics’ key features is the ability to share and collaborate on KPI dashboards securely using iCloud sharing and Collaboration for Messages.
Sharing a Dashboard using Messages
You can share a Numerics dashboard with your team in real time via secure iCloud sharing and collaboration with Messages. Here's how to do it:
Tap/Click the 'Share' icon on the dashboard.
In the next screen, use the 'Messages' application to send the dashboard link to the selected contact.
Once the link is sent, the share icon will be replaced with a collaboration icon in the top right corner of the dashboard, indicating that it is being shared. Tap the icon and then 'Manage Share' to go to the share configuration screen.
From here, you can invite more people, stop the share, or change share options. If you stop sharing the dashboard, it will cease to be available for the people you have shared it with. However, you can always start the share again at any time.
Accepting a Shared Dashboard
When you receive a message with a shared dashboard, just tap the file and the dashboard will be opened in Numerics.
If you wish to end participation, you can do so by tapping on the 'Remove me' button in the share configuration screen. This will make the dashboard no longer visible to you.
Note: The shared dashboards are saved in iCloud databases so that any updates are reflected on every device that belongs to people in the collaboration list. This allows each individual to not only follow the same KPIs but also to update the shared dashboard and contribute to the group decision-making process.
Adding Widgets to a Shared Dashboard
Both the dashboard owner and collaborators with the 'Can make changes' permission can add widgets to the shared dashboard. Here is how you can do it:
If you are the owner of the dashboard, simply navigate to the dashboard and add the desired widgets.
If you are a collaborator, check your permission settings. If you have the 'Can make changes' permission, you can also add widgets to the shared dashboard.
If a collaborator adds a widget in preview format without connecting a service account, another team member with 'Can make changes' permission can connect their account to the widget. This allows the team to view data from the connected account.
Stream read-only dashboards
Open the dashboard you want to share in Numerics.
Navigate to the 'Share Options' screen.
Under permissions, choose the 'View only' option. This ensures that people in the collaboration list will only be able to view the dashboard; they will not be able to edit it.
Once you've set up the permissions, you can invite people to view the dashboard. This can be done through the Messages app, email, or other communication tools.
After the invitation has been sent, every time Numerics on one of your devices updates the dashboards with new data, the updated visualizations are synchronized in near real-time to the devices of the other users.
Security in Shared Dashboards
Security is a cornerstone of the Numerics experience, especially when it comes to sharing dashboards. When you share a dashboard in Numerics, your account credentials used to get and update the data never leave your private data store. Instead, the structure of the dashboard, the widgets and the data that is displayed in the widgets is shared.
Secure Data Fetching
When a dashboard is shared, new data is fetched exclusively from the widget owner's account.
Every time Numerics updates the dashboards with new data on one of your devices, the updated visualizations are synchronized in near real-time to the devices of the other users. This ensures that while collaborations can be started with a couple of clicks/taps, each user can optionally contribute their own KPI widgets into a shared dashboard, again while retaining their secure data in their private stores.
Permissions Control
Numerics also allows for granular control over who can make changes to a shared dashboard. As the dashboard owner, you can set permissions for each collaborator, deciding whether they can make changes or simply view the dashboard. This level of control helps you maintain the security of your dashboards while enabling collaboration.
Numerics is designed to be 'secure by design'. All connections, computing, and storage happen on the user's device with no servers in between, making it one of the most secure dashboard apps available. By using Numerics, you can confidently share and collaborate on your KPI dashboards, knowing that your data is protected.
